Guest ID Scanning and Digital Registration

Document scanning should start a controlled guest-registration workflow—not merely display extracted text or save an image.

Manual transcription of names, document numbers and dates slows check-in and introduces errors. A phone camera, scanner or MRZ reader can capture relevant fields and prepare a guest profile, while the receptionist remains in control.

The complete check-in flow

  1. Capture the document with clear framing guidance.
  2. Recognise its type, MRZ and visible fields.
  3. Normalise names, dates and identifiers.
  4. Compare the result with the reservation.
  5. Show all extracted data for confirmation.
  6. Create or update registration only after approval.

Extract and verify the right fields

Useful fields may include full name, nationality, date of birth, document number, issue and expiry dates, issuing country and MRZ values. Expired documents, missing fields and reservation mismatches need visible warnings.

Prevent duplicate profiles

Before creating a guest, the system should search for reliable matches. Possible duplicates require review rather than automatic merging, protecting stay history and financial records.

Operational principle: scanning accelerates entry; it does not replace the receptionist’s verification.

Design for reception and protect data

The flow should work on desktop and staff phones, with progress, clear status and recovery from failure. Identity data requires role-limited access, protected transmission and storage, appropriate retention and audit records. Hotels should retain only what is required for legitimate and legal obligations under professional guidance.

A better guest experience

When scanning connects directly to the reservation and registration process, reception spends less time typing and more time welcoming the guest. The result is faster service and cleaner data.
